The n8n Workflow That Runs My Entire Client Onboarding

Onboarding is the most critical phase of a project. It's where trust is either solidified or shattered.

For a long time, my onboarding was manual and messy. Now, it's a silent engine powered by n8n. Here's exactly how it works.

The Trigger: Form Submission

The moment a client fills out my "Project Kickoff" form (via Typeform or Tally), the workflow springs to life.

Step 1: Client Folder Creation

n8n connects to my Google Drive and creates a structured project folder:

  • /Briefs
  • /Assets
  • /Deliverables

Step 2: Slack Notification

My team (and I) get an instant notification in our #new-clients channel with the key details.

Step 3: The Personal (But Automated) Welcome

A personalized email is sent via Postmark sharing the project timeline, access to their Google Drive folder, and a link to book our kickoff strategy call.

Step 4: CRM Update

The lead status in my CRM is automatically moved to "Active Client."
